A training report is the client-facing document you send after every cohort to answer one question: did the program work. This guide gives you a ready-to-use training report template you can attach to the wrap-up of your next corporate training program, built around the numbers your client actually renews on.
What a Training Report Actually Is
A Training Needs Analysis sets the baseline before the program starts. The Kirkpatrick Model is the framework you measure against while it runs. The training report is the document that packages both into something a client can read in five minutes and use to decide whether to renew.
It is not a raw LMS export and not a slide of charts with no narrative. CIPD’s workforce reporting factsheet makes the same point for HR reporting generally: a report earns trust by connecting numbers to a decision, not by listing data.
Why GCC Training Providers Need This After Every Cohort

Enterprise clients in the UAE and KSA decide renewals on what you report, not on what actually happened. A cohort with real impact but a weak report loses the renewal to a cohort with average impact and a clear one.
Sending a structured report after every cohort, not just the final one, also gives you a paper trail if a client questions results months later. The mid-program report is your evidence that you flagged a problem before it became one.
The Training Report Template
Copy this into a document and send it after every cohort. Keep it to one page wherever you can.
| Section | What To Include | Source |
|---|---|---|
| Cohort snapshot | Dates, headcount, language, delivery format | Your delivery records |
| Business outcome | The metric from the TNA and whether it’s tracking toward target | TNA + client operational data |
| Reaction and learning | Average satisfaction score, assessment score gain | Level 1 and 2 data |
| Behavior and results | On-the-job change observed so far, if measured | Level 3 and 4 data |
| Completion and confusion | Completion rate, where learners got stuck | Platform data |
| What we’re watching | Any risk to the outcome and what you’re doing about it | Your assessment |
| Next steps | What happens before the next report | Agreed with the client |
The Mistake Most Firms Make
They export a completion rate screenshot from the LMS and call it a report. A number with no narrative forces the client to guess what it means, and a client who has to guess is a client who starts comparing you to someone whose report does the thinking for them.
Where Vocaliv Fits
Completion rate, learner confusion rate, and assessment scores pull straight from the analytics dashboard, so the cohort snapshot and the reaction-and-learning rows above are close to copy-paste.
The business outcome, behavior, and results rows still need input from the client’s own data and your manager check-ins. Vocaliv gives you the platform half of the report; the client-side half is still yours to gather.

FAQs
Pull the numbers from the template above, lead with the business outcome instead of the agenda recap, and keep the whole thing to one page. A reader should get the answer to “did it work” in the first two lines.
A cohort snapshot, the business outcome versus baseline, reaction and learning scores, behavior and results where available, and next steps, in that order. Use the section table above as the format.
A one-page memo for a 20-person sales cohort might read: “Cohort ran March 1 to 15, 20 reps, Arabic and English. Target was a 15% lift in conversion; early data shows 9% at 30 days. Average session rating 4.6/5, assessment scores up 22%. Watching: two reps still below target, coaching scheduled.” Short, outcome-first, and specific.
A mid-program check-in, a final cohort report, and a quarterly roll-up across several cohorts are the three most common. They share the same sections above, just at different points in the engagement.
At least twice: once mid-program and once at the end. Mid-program lets you flag a risk while there’s still time to fix it. The final report is what the renewal decision gets made on.
Next Step
Use this template on the next cohort you close out, even if some rows start blank. If you want the completion rate and confusion rate rows filled automatically, book a demo.
